Why an address on your own domain is worth it
A customer who gets an offer from mycompany2024@gmail.com thinks twice. One from sales@yourcompany.com looks like a real business. On top of that:
- the address is yours, not a free service's that can close your account;
- you can create separate addresses for each person or department:
contact@,billing@,andrew@; - when an employee leaves, the address stays with the company.
What you need
- a domain, for example
yourcompany.com; - hosting with email included or a separate email service;
- a few minutes of setup.
Step 1: create the email account
In the hosting panel's email section, add the domain (if it is not there already) and create the address: choose the name (for example contact), a strong password and, if you like, a storage limit.
You can read your email right away in the browser through webmail.
Step 2: add it to your phone and computer
To get email in your phone app (Gmail, Outlook, Mail on iPhone) or in Outlook on your computer, add the account with your host's settings. You usually need:
| Setting | Value |
|---|---|
| Username | the full address, for example contact@yourcompany.com |
| Incoming (IMAP) | the mail server from your host, port 993, SSL |
| Outgoing (SMTP) | the same server, port 465 (SSL) or 587 (STARTTLS) |
Choose IMAP, not POP3. With IMAP, email stays on the server and you see the same thing on your phone, computer and webmail.
Step 3: keep your messages out of spam
This is the part many people skip. Gmail, Outlook and Yahoo check whether email really comes from your domain. For that, the domain needs three DNS records:
- SPF: says which servers may send email for your domain;
- DKIM: a digital signature on every email proving it was not changed on the way;
- DMARC: tells receiving servers what to do with a fake email in your name (accept it, send it to spam or reject it).
Without them, your email often lands in spam, and it is easier for someone to send fake email in your company's name. Once they are in place, test with a free service like mail-tester.com: send an email to the address it gives you and you get a score.
Practical tips
- A strong password on every account. A hacked email account gets used for spam, and your domain ends up on blacklists.
- Do not send mass marketing from your hosting email. Use a dedicated service for newsletters.
- Create a general address (
contact@) for the website, and personal addresses for everything else.
